How to Fix Cabins Not Showing for Sale After Loading a Group Allocation

Introduction

After you load cabin grades and cabins onto a group allocation, you may find that the new cabins don't appear for sale on your booking site straight away, or that they appear as available in the admin screen but show as sold out when a booking is attempted. This guide explains why this happens and walks you through the steps to resolve it yourself, plus what to do if the issue persists.

Prerequisites

  • Access to the Extranet with permissions to manage Cruise Allocations (Group Bookings) for the sailing in question.

  • The group allocation ID and the cabin grade code(s) you loaded (e.g. the category code shown in the allocation).

  • Knowledge of which site(s) the sailing should be for sale on (e.g. your live booking site(s)).

Estimated Time

5–15 minutes for the self-service steps below. If a refresh needs to be requested from Traveltek Support, allow up to a few hours for confirmation, though it is usually resolved within minutes of the request being actioned.

Solutions

Scenario 1: Newly loaded cabins don't appear in search results at all

New cabin/cabin grade records loaded onto an existing group allocation are not always picked up immediately by the search cache that powers your booking site. Only saving the top-level group allocation form is guaranteed to refresh that cache right away.

  1. Sign in to the Extranet.

  2. Navigate to Cruise Allocations for the affected sailing.

  3. Open the group allocation you loaded cabins onto.

  4. Without necessarily changing anything, reopen and resave the top-level group details form (name, sell via, valid from/valid to, etc.). Saving this form refreshes the cached list of sellable allocations for your site.

  5. Wait a few minutes, then search for the sailing on your booking site to confirm the cabins now appear.

  6. If the cabins still don't appear after re-saving, raise a support ticket referencing this article — our team can trigger a cache refresh, which typically resolves the issue within minutes.

Scenario 2: Cabins show as available in the admin screen but appear "sold out" when booking

This is usually caused by the Standard Occupancy value on the cabin grade being incorrectly set to 0. A cabin grade with a standard occupancy of 0 will display as available in the allocation view, but will show as unavailable/sold out ("X") when a booking is actually attempted.

  1. In Cruise Allocations, open the group allocation and go to Cabin Grades.

  2. Select the affected cabin grade.

  3. Check the Standard Occupancy field, highlighted below.

  4. If it is set to 0, update it to the correct value for that cabin type (for most standard cabins this is 2).

  5. Save the cabin grade.

  6. Retry the group search/booking to confirm the cabin is now bookable.

iSell Navigation Reference

  • Agent/front-end booking view — Cruise → iSell Cruise Search → search the sailing → select the cruise → the Cabin Grades results table shows price or "X" per grade. This is what surfaces the symptom.

  • Back-office admin view — Cruise Administration → Search Cruises → open the cruise → Groups → open the group → tabs across the top: Details / Cabins / Passengers / History / Supplements / Finances. The Cabins tab lists every cabin grade with Total/Sold/Left and Edit Details / Edit Cabins / Clone links — this is where the Standard Occupancy field lives (under Edit Details → Occupancy section).

Still Having Trouble?

If you've worked through the steps above and the cabins are still not showing for sale or still show as sold out incorrectly, please raise a ticket with Traveltek Support and include

  • The sailing/cruise and group allocation ID affected

  • The cabin grade code(s) affected

  • Screenshots of the allocation screen and the search/booking results showing the discrepancy

  • A reference to this article

Our support team will investigate and, where the cause is a caching delay, can trigger an immediate refresh rather than requiring a full reinvestigation.
